How to scan a paper schedule into your calendar
Take a clear photo of the schedule (or use the PDF if you have it), let the app read it, then check every date and time before anything is saved. The check is the part that matters: a wrong practice date is worse than no date at all.
Who it’s for: parents with paper or PDF schedules (sports seasons, school year calendars, lessons, appointment cards) who are tired of typing them in.
Who it isn’t for: schedules that already come as a calendar link. If the team or school offers one, subscribe to the link instead: it stays up to date when they change something, and a scan doesn’t. The same goes for a work calendar.
Before you scan: get a good picture
- Use the PDF if you have one. A schedule emailed as a PDF reads more reliably than a photo of a printout.
- Flat, straight on, in good light. No angle, no shadow from your phone, no glare on glossy paper.
- Get the whole page, including the month and year. A row that just says “Tue 14” needs the heading to know which month it is.
- Watch the folds. A crease through a row is the most common way a date gets misread.
Scanning a schedule in Kithful
- Go to Plan → Schedule → From a photo and snap the schedule or pick the PDF.
- Pick who it’s for, then check the review. One “Who’s this for?” at the top gives every event that person’s color. Every event comes back as a card you can edit: name, date, time, place, end date for multi-day events, notes, a reminder and a repeat. Uncheck anything you don’t want.
- Confirm. Only the checked events are saved. They show on the Schedule and Today screens of the family calendar, and on your phone’s calendar if you’ve turned on the calendar feed.

How it catches mistakes
“Date may be off — check”
If the weekday printed on the schedule doesn’t match the date it read (a “Wednesday” that lands on a Tuesday), that event gets a flag so you look at it. It never changes the date on its own.

No doubles when you scan again
If an event is already on your calendar (same day, same name), it comes back unchecked, so re-photographing a schedule doesn’t add a second copy.
Crammed boxes split apart
On a month grid, a single box often holds two or three things. If they come back as one event, tap Split to turn it into separate events on the same day.
It only reads what’s printed
It won’t add holidays or events the paper doesn’t show. Breaks that span several days come in as one event from the first day to the last.
What it doesn’t do — honestly
One photo or one PDF per scan. A two-page schedule works best as a PDF.
A scan is a snapshot. If the coach changes the schedule, scan the new one. Kithful leaves events you already have unchecked, but it won’t remove a practice that was dropped.

Can I take a picture of a schedule and add it to my calendar?
Yes. In Kithful, snap the schedule or upload its PDF, check the events it read, and confirm. They appear on the family calendar and, with the calendar feed turned on, in your phone’s calendar app.
How do I make sure a scanned schedule is right?
Check every event before saving: the date, the time (including AM or PM) and the place. Kithful flags any event whose printed weekday doesn’t match its date, and saves nothing until you confirm.
Should I scan the schedule or import a calendar file?
If the team or school gives you a calendar link, subscribe to it: it updates when they change something. Scan when all you have is paper or a PDF.
Will scanning the same schedule twice make duplicates?
Not in Kithful. Events that are already on your calendar on the same day with the same name come back unchecked, so they aren’t added again unless you check them.
